Importing patients and appointments

Open Admin → Import (admins only). Importing is free on every plan.

Prepare the file

Export patients from your old system as a CSV file. In Excel choose Save as → CSV UTF-8. Commas or semicolons both work, and Arabic names are kept as they are.

Patients

  1. Upload the file. CareLink guesses which column is which from the headings, in English or Arabic; correct any it got wrong.
  2. Names can be first and last name columns, or one full-name column that is split.
  3. A date of birth like 03/04/1980 is read day first; choose month first if your old system wrote dates that way. If the file itself settles it (a date such as 13/04/1980 only works one way), the file wins.
  4. Gender can be written in English or Arabic; mobiles become +20 or +44 numbers; national ID, allergies and the old file number are kept.
  5. Press Check. Nothing is saved yet: each row with a problem is listed, and possible duplicates (same mobile, name and date of birth as a patient you already have) are skipped.
  6. Press Import. It runs in batches; at the end you see a summary and can download the rows that were not imported as a CSV file.

Appointments

Import patients first. Each appointment is matched to the patient by the old file number or mobile, and to the doctor by name. Times are read in your clinic's time zone. A time that clashes with another booking, or with a doctor's leave, is reported, never double-booked. Only upcoming appointments are imported; past and cancelled ones are skipped.
